MONOGRAMMER LLC

Privacy Policy

Last updated: October 20, 2026

This policy describes information handled through Monogrammer.com, operated by Monogrammer LLC (“Monogrammer,” “we,” or “us”).

Information you provide

When you submit a personalization request, we collect your name, email address, any optional phone number, shipping address, product selections, quantities, initials, artwork, placement previews, and request notes. Do not submit payment-card details, passwords, government identifiers, or sensitive personal information through artwork or notes. The storefront currently accepts unpaid requests and does not collect card information.

Customer support and AI assistance

When you create a support ticket, we collect the name, email, topic, subject, order reference if supplied, preferred remedy, and messages you provide. If you choose to attach a chat transcript, it becomes part of the ticket. We store tickets, replies, internal handling notes, timestamps, and a one-way hash of the private access code. Anyone with the ticket number and code can access that conversation, so keep the code private. The code is not emailed and cannot be recovered automatically; contact help@monogrammer.com if you lose it. Owner access is authenticated. Ticket emails and order references are supplied by the visitor and are not automatically verified.

When AI chat is enabled and you choose to use it, your question and a limited recent conversation are sent to OpenAI to generate guidance. We request that the provider not store a response as persistent conversation state; provider security and other data handling may still apply. The AI has no access to private orders or ticket records, and cannot execute remakes, refunds, or order changes. AI can make mistakes. You can use the ticket form or email instead of AI. Chat remains in this page’s memory until cleared or the page is closed, unless you choose to attach it to a ticket. Ticket access codes are not put in page URLs or browser local storage. Automatic ticket email notifications are not currently sent.

Information stored on your device

The studio uses your browser’s local storage to remember designs, bag contents, and recipient profiles you choose to save. This storage is specific to the browser and device; it is not a cross-device customer account. Design and order information is sent to us when you request products. Delivery details may also be sent when you request a tax estimate. Clearing the site’s browser data removes local saves, but does not delete a request already submitted to us.

Technical information and cookies

Hosting and security services process technical information needed to deliver the site, such as IP addresses, browser information, requested pages, and request times. The application uses security and rate-limit records to prevent abuse. Owner sign-in uses a secure session cookie; ChatGPT-based sign-in, where used, provides account identity for access control. The custom storefront does not currently include advertising pixels. Hosting providers may process their own operational data under their policies.

How information is used

We use information to respond to requests, confirm product options and artwork, estimate tax and delivery, prepare personalized goods, communicate about fulfillment, maintain records, protect the site, and comply with applicable obligations. A product request is not consent to unrelated marketing.

Service providers and disclosures

Information may be handled by providers supporting hosting and storage, authentication, tax calculation, production, and delivery. The site runs on OpenAI Sites with Cloudflare-based hosting and storage. When enabled, Stripe Tax receives address and transaction information for tax estimates. When production requests embroidery digitizing, artwork and technical design settings may be sent to Wilcom. Product images may load from S&S Activewear’s image servers, which receive ordinary web-request information. We may disclose information when required by law, to protect rights or security, or in connection with a business transfer subject to applicable protections. This policy does not replace a provider’s own policy when you use its services directly.

Retention and security

Local saves remain until removed from the browser or application. Support tickets, replies, submitted requests, and production records are retained as needed for request handling, fulfillment, accounting, dispute resolution, security, and applicable legal obligations. No method of storage or transmission is completely secure. Access to order and production information is restricted by the application’s owner controls.

Your choices and privacy requests

Contact help@monogrammer.com with a privacy question or a request to access, correct, obtain a copy of, or delete personal information. Depending on your location and applicable law, you may also have rights to opt out of certain processing and to appeal a decision. Tell us the right you wish to exercise and the email used for your request; do not send sensitive identity documents unless we arrange a secure method. We may need to verify identity or an authorized agent’s authority. Requests are subject to applicable exceptions and response deadlines, and exercising a privacy right will not result in unlawful discrimination.

To appeal a privacy decision, contact the same address with “Privacy appeal” in the subject and explain the decision you want reviewed. You may also contact your applicable privacy regulator, including the Texas Attorney General. Browser local-storage controls do not, by themselves, delete server-held records.

Children and gift recipients

The service is intended for adults arranging personalized products, not for children to submit personal information. If you believe a child has provided information directly, contact us so we can review it. Provide recipient details only when you have permission or another appropriate basis to do so, and avoid unnecessary sensitive details.

Updates and contact

We may update this policy as the service or our practices change. The date above identifies the latest version. Material changes will be communicated as required by applicable law. Privacy contact: help@monogrammer.com.
